Performing email conversion can be very challenging if done without proper planning. This article tells you that what planning you need to do before starting the email conversion process so that you can successfully migrate emails, notes, contacts, drafts, etc. from Lotus Notes to Outlook.

email conversion can be a need of organizations to establish better communication medium among employees. Two most popular email clients that are being used in small, medium, and large organizations are Lotus Notes and MS Outlook. Most of the organizations have already migrated to MS Outlook while many are in the process of migrating from Lotus Notes to Outlook. There are several reasons that make organizations of migrate emails, contacts, etc. from .nsf file of Lotus Notes to .pst file of Outlook. Few of those reasons are:

  • High software cost

  • High maintenance cost

  • Users’ unfamiliarity with Lotus Notes

  • High training cost

Whatever is the reason behind migration, a thorough planning must need to be done before starting the email conversion process. You should not go for email conversion without planning the process. There are many tools available that help you in migrating emails, notes, contacts, etc. from Lotus Notes to Outlook but for that you should also do some prior planning. There are many points that you must consider before starting the process of migrating Lotus Notes to Outlook:

  • Take Backup: Before you start the process of email conversion, make sure that you have backed up the .nsf file of Lotus Notes. Backing the file is required because you cannot make sure that the process of email conversion will be successful, as the process may take long time and if the process gets aborted in between then the .nsf file can be damaged leaving you empty handed. Therefore, to be at the safer side, backup the .nsf file before starting the email conversion. If something wrong will happen during the migration process then you will be having another copy of the .nsf file for migration.

  • Configure New client: You should configure the new email client, Outlook before starting the migration process. This is because if you will be having MS Outlook installed, you can check that whether the converted .pst file is error free or not.

  • Provide your employees training about the new client: Once you have decided to perform email conversion, get ready to provide your employees a basic training about using the new email client. However, using MS Outlook is much easy but still a basic training about the application should be provided, so that the employees can use the application without any hitch.

Aforementioned are the steps that should be considered before starting the Lotus Notes to MS Outlook migration. An effective email conversion tool enables you to effectively migrate emails, notes, contacts, drafts, calendar items, etc. from .nsf file to .pst file. It quickly converts the .nsf file into the .pst file, which can be easily accessed with MS Outlook 97, 98, 2000, XP, 2003, 2007, and 2010.
