You Don’t Have to Be in IT to Use an HRIS

Just the word “HRIS” sounds daunting—but it really isn’t. You don’t need to be an Information Systems or technology guru to use it! A human resource information system can be easy to use and will help you manage employee files.

Just the word “HRIS” sounds daunting—but it really isn’t. A human resource information system (HRIS) is a fantastic way of capturing and storing all sorts of information for employee files, such as their address, performance reviews, employee leave record, salary wage information, disciplinary notes, benefits, licenses, etc. You don’t even need to be an Information Systems or technology guru to use it!

There are many other uses for the information that is stored in an HRIS system, such as generating reports, ensuring that employees or their dependents are not erroneously uninsured when they are eligible for company benefits, implementing work processes, and many other benefits. Some of the specific uses include:

·         Tracking time-off accruals for vacation, sick, and PTO days

·         Salary wage history

·         Positions held while working at the company

·         Training attended & certifications and licenses held

·         Performance evaluations

·         Disciplinary actions taken

·         Personal information, such as address and phone number

While this list may not seem too long, that is a lot of information to be stored on a software system. Just think about all the paperwork you will NOT be generating when you start using an HRIS?  This will definitely streamline processes, reduce time allocated to certain tasks, generating increased efficiency and reducing waste—allowing human resource and department managers to be involved in more strategic functions.

Human resource information systems have evolved over the years and are more user-friendly, so being an IT expert is not necessary in order to update employee files, generate reports, or any number of things. So when presented with a new HRIS, don’t be afraid to closely look at the advantages it will bring to your organization because you too can effectively and efficiently use an easier way to manage employee files.
