Project Management Offices have become a necessity for the companies that have to deal with a dynamic pool of demands. project management process take care of the following:

  • It ensures that the project management standards are met with by providing an infrastructure of human resources, procedures and tools.

  • It helps in allocating the resources appropriately.

  • It establishes consistent performance methods.

  • It tries to avoid redundancy of efforts.

A PMO helps in aligning the projects with the desired strategies and goals.

These are the parts of an effective Project Management Process:

  1. Enlisting Executives and Management Support: This requires a shift in the organizational work culture as well as roles and responsibilities. This can be met with resistance but all the changes in procedures, roles and organizational structure should be justified by proving their benefits.

  2. Determining the Structure and Building the Team: Different organizations have different structures. The things to be kept in mind in order to build the best teams are the following:

    1. Availability of resources

    2. Politics of the organization

    3. Project size and volume

    4. Current roles and responsibilities

    5. Current Project Management problems.

  3. Standardization: Standardize and document the PMO practices and methodologies. This will help the organization to compare the various projects. It will also include the information regarding the training of staff.

  4. Identifying Skills, Mentoring and Coaching: Identify the proficiency in different skills, efficiency levels and strengths of the executives and the staff to determine what and how much training is necessary. The training program must ensure that all the new employees get trained. The training program should be continuous for this reason.

  5. Measuring Success and Improving: Once the foundation work is done, the focus shifts to calculate how effective the foundation work is proving to be. Weak points must be figured out and worked upon. The executives and the staff should be made aware of the process of measuring effectiveness.

A good PMO not only builds and evolves itself but takes care of the existing structure of the organization. It is important that creative and smart ways of synchronization rather than making drastic changes should be preferred.
